In a perfect world, both ledgers would always match. In reality, administrative errors, missed payments, or disputes over charges can occur. In such situations, the tenant's own clear and complete record is their most powerful piece of evidence. Relying solely on the landlord's administration is a position of weakness; maintaining your own records is a position of strength.
A landlord is obligated to manage their finances correctly and can be expected to produce a clear statement of payments and any outstanding arrears (huurachterstand) if a dispute arises. However, the burden of proof can sometimes be complex. The best and most irrefutable proof of payment for a tenant is their own bank statements (bankafschriften). Without your own records, you have no way to challenge their statement if you suspect an error.
