Once you've found a property you want, the application process becomes a race against time. In popular cities, an apartment can have dozens of applications within hours of being listed. Your ability to manage your application efficiently and professionally can make all the difference. The process typically begins with submitting your initial expression of interest, followed quickly by providing your full set of supporting documents.
Most agencies now use online portals for applications. It is critical that you fill out every field completely and upload all required documents in the correct format (usually PDF). An incomplete application will simply be ignored. After submission, the waiting game begins. It's acceptable to send a polite follow-up email if you haven't heard back within the timeframe they indicated, but avoid being pushy, as this can reflect poorly on you.
Circumstances can change. You might find a better property or realize an apartment isn't right for you after a second thought. Understanding how to manage changes to your application is important:
Application Supplement or Amendment: If you realize you forgot a document or made a mistake on your form, contact the agent immediately. An application supplement (aanvulling
) means providing a missing document, while an amendment (wijziging
) means correcting information. Be proactive and honest. Informing them of a mistake is much better than them discovering it themselves. For example, if your income details change, you must update them.
Application Withdrawal (Aanvraag Intrekken
): If you wish to pull out of the running, it is professional courtesy to inform the agent immediately. An application withdrawal allows them to remove you from the candidate pool and focus on other applicants. There is no penalty for withdrawing your application. However, this is very different from pulling out after you have verbally or contractually agreed to rent the property. Once you have accepted an offer, you are entering a binding agreement, and backing out at that stage can have financial consequences, such as losing a reservation fee if one was paid.
