An application portal is a web-based software system used by nearly all modern real estate agencies (makelaars) and large landlords to manage the flood of rental applications. Instead of sending emails with attachments, prospective tenants are required to create a personal account on a third-party platform. Within this portal, they must fill out extensive forms and upload their entire sensitive financial and personal dossier: passport scans, employment contracts, bank statements, motivation letters, and more. The portal acts as a centralized database for the agency, allowing them to track, filter, and compare applicants in a standardized format. For the applicant, it is the sole, mandatory gateway to being considered for a property.
From a tenant's perspective, these application portals are deeply problematic. The most significant issue is data privacy and security. Tenants are forced to upload highly sensitive information, sufficient for identity theft, onto platforms with often-opaque policies on data storage, security measures, and data sharing. Who has access to this data? How long is it kept after a property is rented? Is it secure from breaches? The portals rarely provide clear answers. Furthermore, the process is a 'black box'. Your application can be silently rejected by an algorithm that automatically filters out candidates based on criteria you are not aware of, such as a non-permanent employment contract or a single euro below an income threshold. This lack of transparency makes it easy to mask discriminatory practices. The portal dehumanizes the application process, turning a search for a home into a data-entry task with no feedback, no human contact, and significant, unacknowledged risks to personal data security.
